Companies must electronically file the information on their OSHA 300A form by March 2. OSHA has a secure website for employers to input this information.
Information can be provided manually, by uploading a csv file for multiple establishments or transmitting data from an automated recordkeeping system. For most companies, the simplest and easiest method is to manually input the data.
OSHA requires certain companies with 20 or more employees to electronically report. Even if the company is in a state with a state OSHA, they are required to go to the federal OSHA website and link to Injury Tracking Application (ITA). In addition to your OSHA 300A form, you will need the company’s Employer Identification Number (EIN). Click here for a link to the ITA portal.
Companies with 250 or more employees at one establishment are currently required to keep OSHA injury and illness records and establishments with 20 -249 employees in an industry with historically high rates of occupational injuries and illnesses are required to file. What is an establishment? An establishment is defined as a single physical location and can include campus and complex type locations. For example, a construction company has 3 locations; 40 people work at a location in Santa Ana, 17 work at a location in Sacramento, and 20 work at a Los Angeles location. OSHA requires that the information from the Santa Ana and Los Angeles establishments is reported. Since Sacramento only has 17 workers so they do meet the reporting threshold.
Even though employees are telecommuting, a home office is not an establishment. Employees who work from home must be linked to one of the employer’s establishments.
